Job Brief

THSC is looking for a trustworthy and reliable Executive Assistant who will undertake administrative tasks, ensuring the upper-management has adequate support to work efficiently.

The Executive Assistant is responsible for coordinating and providing administrative support to the President and Executive Director, as well as ensuring the smooth operation of the office and other administrative functions of THSC.

The tasks of the executive assistant will include administration, bookkeeping, and mentoring office assistants and interns. The ideal candidate will be competent in prioritizing tasks, able to work with little supervision, self-motivated, and trustworthy.

Responsibilities:

  • Management
    • Hire, train, supervise, and manage the Administrative Assistant
    • Maintain an office intern program
    • Implement efficient ways to run the office,  resolve issues, and troubleshoot a variety of situations.
    • Track office expenses and prep budget reports
  • Office
    • Be responsible for incoming and outgoing mail, shipping, and receiving
    • Manage office admin communication (phone calls and correspondence)
    • Support budgeting and bookkeeping procedures, which include printing and mailing disbursement checks, entering deposits into the data system, and making bank deposits
    • Create and update records and databases with financial, and other data
    • Define and execute procedures for retention, protection, retrieval, transfer and disposal of records (digital or paper) in order to maintain filing systems (digital or paper)
    • Track office supplies, stock and place orders when necessary
    • Present a professional, welcoming first contact to all clients, vendors, board members, staff, media, etc. by phone, in person, and through email
    • Provide support for office and equipment maintenance
    • Assist colleagues with in-office tasks whenever necessary
    • Liaise with teams across the company
  • Executive Assistant
    • Coordinate travel arrangements, prepare itineraries, plan logistics, and submit expense reports
    • Manage agendas for upper management; take minutes during meetings
    • Manage executives calendars and set up meetings and events
    • Act as point of contact for executive staff, employees, board members, and others
    • Review and recommend changes to company policies
    • Create, recommend, and implement new policies and procedures
    • Develop and carry out an efficient documentation and filing system
    • Manage information flow in a timely manner; read, research, and route correspondence; draft letters and documents; collect and analyze information; initiate communication
    • Prep and format information for internal and external communication – memos, emails, presentations, reports
    • Assist with a variety of office projects and processes.
    • Assist the Executive Director and President in whatever tasks necessary

Skills and Qualifications:

  • Computer savvy; proficient in MS Office and Google Docs; familiar with QuickBooks
  • Proven experience as an office administrator, personal assistant, or relevant role
  • Outstanding communication and interpersonal abilities
  • Excellent organizational and leadership skills
  • Familiarity with office management procedures and basic accounting principles

Marketing Director

Job Brief

Manage and further all aspects of THSC Marketing.

Essential Duties and Responsibilities

Manage Marketing teams

  • Create an overall annual marketing plan.
  • Oversee implementation of marketing strategy – including campaigns that secure memberships through customer service, social media, publishing, and digital means.
  • Analyze, formulate, and implement best practices to increase membership and event registrations
  • Develop and manage advertising campaigns to be promoted through CRT, social media, publishing and digital means
  • Ensure that Marketing objectives are implemented by the team
  • Manage social media presence and direct programs to improve social media reputation and recognition.
  • Develop and deliver marketing and communications strategies for the organization
  • Continuous analysis of competitive environment and customer trends
  • Promote THSC through print, web and video content
  • Produce ideas for promoting THSC by generating new leads, Identify target markets and develop strategies to communicate with them
  • Monitor progress, review and submit monthly reports on marketing activity and results
  • Expand and develop all marketing platforms
  • Determine and manage marketing budget and allocate resources among projects within agreed budget
  • Manage day to day activities of the marketing team
  • Coordinate with other internal departments to promote the THSC brand, membership, special events, and projects organization-wide
  • Conduct regular team meetings, report weekly to Executive Leadership Team and to the THSC board quarterly in committee meetings as required
  • Conduct training, teaching, coaching, and mentoring of the team in THSC policies and processes, and the Ministry Institute practices as needed.
  • Update job descriptions, post openings, and hire (according to THSC hiring procedure) members of the Marketing team. Evaluate all team members as needed and per established schedule of behavior forums.
  • Travel to trade shows, conferences, and staff meetings as required
  • Explore ways of improving existing processes, products, and services, and increase profitability

Senior Sales Representative

Job Brief:

THSC is looking for an experienced Sales Representative to sell THSC’s advertising and sponsorship opportunities that will positively impact Texas families. Meet other organizations, develop new products, and ensure advertising and sponsorships are completed successfully. We want to see enthusiastic candidates who are not afraid to develop new relationships, can create fresh product ideas, and have great organizational skills required to leave nothing to chance.

Essential Duties and Responsibilities:

Administrative Duties – 

(Administrative duties pertain to internal job requirements, including reporting/record-keeping, internal meetings, improving processes, creating Sponsorship Package and Media Kit, etc.)

  • Meet sales goals, according to assigned team goals
  • Attend regular 1:1, team meetings, and THSC “All Staff Advance” meetings (2 per year)
  • Assist in developing, standardizing, and maintaining entire sales team processes and products.
  • Complete any other pertinent tasks, duties, assignments, research, and special projects as delegated by Sales Team Manager
  • As the team expands, coach less experienced team members

Sales/Client Engagement Duties – 

(Sales/client engagement duties include direct and indirect client engagement, qualifying/ prospecting, direct client emails, invoicing, pre-deal and post-deal record updating, etc.)

  • Selling memberships from qualified leads.
  • Client prospecting, qualifying, communication and database upkeep
  • Meet personal sales goals according to Sales Team’s established budget revenue goals
  • Expediently invoice and pursue collection of sponsorships, advertisements, partnerships
  • Monitor individual objectives and strategies to prioritize optimal support of sales initiatives as set by Sales Team Manager
  • Weekly tracking and maintaining up-to-date leads and sales

Qualifications:
