Event Planner

THSC seeks to add to the Special Events Team with an experienced, take-charge professional who has the ability to manage administration and logistics in support of the events director in a busy special events environment. Responsibilities include recruiting volunteers to handle, handling, and assisting with coordinating approximately 10 events per year ranging in size from 20 to 6000+ attendees.

This is a part-time, hourly position, requiring 20 hours a week and occasional travel and overtime. The position will be conducted remotely. Applicant must be available during regular office hours and must have administrative and event-planning experience.

Job Description

Planning and Production

  • Negotiate for space contracts and book event space, arrange food and beverage, order supplies and audiovisual equipment, make travel arrangements, order event signs, and ensure appropriate décor (florals, linens, color schemes, etc.) to meet the quality expectations of the director.
  • Aggressively gather information on each project to achieve quality event productions on a limited budget.
  • Recruit, administrate, and manage volunteer teams.
  • Serve as liaison with volunteers, vendors, and attendees on event-related matters.
  • Promote events.
  • Propose new ideas to improve the event planning and implementation process.
  • Prepare nametags, materials, notebooks, packages, gift bags, registration lists, seating cards, etc.
  • Assist with managing on-site production and clean-up for events as necessary.
  • Close out all events as required.

Event Administration

  • Perform office work directly related to the general business operations of THSC through the event planning.
  • Exercise discretion and independent judgment on significant matters. Evaluate and compare possible courses of action and make a decision or recommendation after considering the various possibilities.
  • Assist with preparing budgets and provide periodic progress reports to staff directors for each event project.
  • Keep track of event finances, including check requests, invoicing, and reporting.
  • Coordinate appointments and visits to see our space and scheduling of events on the calendar.
  • Prepare and modify event contracts as requested.

Qualifications

  • Experience coordinating special events
  • Experience with office administrative management
  • Ability to manage multiple projects and work assignments from a variety of staff and volunteers
  • Excellent communication skills, including writing, proofreading skills, and speaking

Additional Requirements

Marketing Team Assistant

THSC seeks an experienced and aggressive marketing assistant to implement industry marketing practices. This is a part-time position, requiring approximately 20 hours a week, during regular office hours, and may be performed from home.

Responsibilities:

  • Explore, propose, and implement new marketing ideas to promote THSC.
  • Strategize, schedule, and write the content for THSC’s spring and fall fundraising campaigns.
  • Analyze, formulate, and implement best practices to increase THSC’s membership.
  • Contact, contract, and perform quality control with designers for THSC advertisements in both print and and web media.
  • Create annual reports highlighting the work of THSC.
  • Attend weekly online team meetings and other on-site events when deemed necessary by the Marketing Director.
  • Complete other tasks as assigned by the Marketing Director.

Required Experience:

  • Bachelor’s degree in marketing, advertising, or public relations preferred
  • Previous marketing experience in the corporate world (non-profit experience is a plus)
  • Experience writing web copy and fundraising copy

Writing Team Leader

THSC seeks a person to lead its Writing Team, which is responsible for the writing of the various publications, documents, and communications of THSC. This person would also be the editor of the “THSC News,” our weekly e-newsletter. This job takes approximately 10 hours per week and can be worked from home.

Responsibilities:

  • Supervise/coordinate Writing Team
    • Write and/or delegate writing tasks.
    • Oversee projects through completion.
  • Editor of weekly E-Newsletter (EN)
    • Develop newsletter topics and themes.
    • Produce/assign and proofread content for the EN and various e-blasts.
    • Oversee and work with team to complete a successful and timely weekly publication.

Qualifications:

  • Newsletter publishing and editing background a plus
  • Familiarity with home school community
  • Highly effective communication skills–verbal and written
  • A good eye for detail
  • A positive and enthusiastic attitude
  • Self-motivated and able to be effective and achieve goals in an independent work environment
